When you encounter an out of balance (OOB) situation when reconciling data from the import blotters, you may need to manually update transactions.
You can resolve an OOB in one of three ways:
Editing transactions from the reconciliation blotter vs the transactions blotter,
Right-click the specific OOB and select View Transaction.
A new window opens, displaying both posted transactions (transactions previously posted) and pending transactions (those transactions that are in the transaction blotter, but not posted to the accounts).
Right-click the transaction in question and select Edit.
The transaction opens in a new window. Make your changes and click Save and Close.
You are returned to the Transactions window. Close it by clicking the red close icon or selecting Close from the File menu.
A dialog box will appear saying "You have modified your transactions. Would you like to re-run the reconciliation process for this holding?" Click Yes. The reconciliation process will run again reviewing your edit. If the edit was done correctly, you should see the OOB disappear.
Sometimes you may want to edit multiple pending transactions for multiple accounts at one time. Editing from the transaction blotter saves time rather than viewing transactions for each holding in each account individually from the reconciliation blotter.
Click Transactions on the left-hand side of the Import screen. The Transactions blotter opens.
Click in a grid cell to edit the field that you need to change.
Once you have made your edits, click the Save button from the toolbar above the grid.
Click Reconcile to re-open the Reconciliation blotter and view the results of your edits.
You may need to add a transaction to bring your accounts into balance.
Right-click an OOB and select View Transaction.
A new window opens, displaying transactions. Click New Transaction.
The Transaction wizard opens with the Security Name, Client Name, and Account Name fields populated.
Click the Transaction Type drop-down and select the transaction you want to add.
More data fields appear. The fields vary depending on the transaction type selected. Fill in the blue fields. Note: If the transaction has a Cash Security Name field, please verify that the correct Cash Security Name is listed based on the Custodian you are importing. Click here to verify the Cash Security Name or to setup a Transaction Setting so that this field defaults to the correct Cash Security Name for manual transactions.
Click Post to Account. The Transaction wizard remains open if you need to create additional transactions for the same security, otherwise, you can click Exit.
You are returned to the Transactions window. Close it by clicking the red Close icon, or select Close from the File menu.
A dialog box will appear saying "You have modified your transactions. Would you like to re-run the reconciliation process for this holding?" Click Yes.
If you are entering a transaction for a holding that is not showing as a Failed item, you can follow the steps below to be sure you input the transaction for the correct holding. Example: If you have a Cash OOB that is due to a missing Distribution for a different holding.
Make note of the account number.
From the Blotters on the left-hand side of the screen, under Positions, click on Reconciliation Results, All.
Type in the account number in the Search for box on the top toolbar.
Find the desired holding and click on the magnifying glass under the View Transactions column.
Click the New Transaction button from the top menu.
Click the Transaction Type drop-down menu and select the transaction you want to add.
Additional data fields appear based on the type of transaction selected. Fill in the required fields indicated in blue. Note: If the transaction has a Cash Security Name field, please verify that the correct Cash Security Name is listed based on the Custodian you are importing. Click here to verify the Cash Security Name or to set up a Transaction Setting so that this field defaults to the correct Cash Security Name for manual transactions.
Click Post to Account. The Transaction wizard remains open if you need to create additional transactions for the same security, otherwise, you can click Exit.
You are returned to the Transactions window. Close it by clicking the red Close icon, or select Close from the File menu.
A dialog box will appear saying "You have modified your transactions. Would you like to re-run the reconciliation process for this holding?" Click Yes.
You might encounter duplicate transactions in the Transaction blotter.
Select the transaction by checking the box to the left of it.
From the toolbar above the grid, select the Action menu, and then Delete.
A dialog appears asking you to confirm that you want to delete the transaction. Click OK. The transaction is removed from the blotter.
